Subject: Summary of Phone Call re March 23rd BOE Meeting
Margaret, Gary and Mark,Below is a summary of the plans we've made for the BOE meeting this Monday. These plans have been made in accordance with the two Executive Orders provided by Governor Whitmer that modified obligations under the OMA.
GPPSS will hold the regular BOE meeting on Monday, March 23rd at 7:00 PM at Brownell. Any member of the BOE and members of the community (limited by the total restriction of no more than 50 persons in one space) are free to attend and participate.
The meeting will be livestreamed so that members of the public can observe the meeting. This is not new. All meetings are already livestreamed.
BOE members do not have to attend the meeting to participate. If a BOE wishes, he or she can participate remotely. Given the Executive Orders provided by the Governor, the GPPSS BOE Bylaw that mandates four 'in person' BOE members attend the meeting is not in force. Both BOE members physically present as well as BOE members participating remotely will use an individual device (laptop or Chromebook) to participate via Google Hangouts. The live stream that is broadcast to the community will be a screencast of the Google Hangout.
The community can participate by either attending the BOE meeting in person and making public comment in the typical manner or a community member may fill out a 'virtual comment card' that will be available via a link from the GPPSS website during the duration of the meeting. If a 'virtual comment card' is submitted during the meeting an administrator will read the comment aloud so that all participants and observers can hear the comment.
Rebecca and Chris will be sending a more detailed communication to all BOE members within 24 hours that provides both more details regarding how to use Google Hangouts as well as a set of norms that will be used by all participants in the Google Hangout (the norms involve microphones being muted when not in use, etc.)
If a BOE member needs a laptop or Chromebook so they can participate in the meeting please contact Chris Stanley ASAP. If a BOE member will be participating in person, please let Denise know ASAP so she can have a computer and table ready for his or her arrival (we are using social distance so knowing how many BOE members to plan for is important.)
