Subject: Distribution List for School Board Member Thank You Notes to Initial Senders

    Mrs. Gafa et al,

While I very much appreciate Mr. McMullen's kind words and appreciate even more that he took the time out of his busy schedule to write us, your response to him copied to all of us who are on the schoolboard@gpschools.org auto-forward distribution list brought to mind a prior request I have made.

As I have requested in the past (and as other board members have requested of me and I am making every effort to respect), I would appreciate it if all recipients of this email not use the schoolboard@gpschools.org email address as an easy way to "cc" those who may be interested in any "thank you" emails sent by any board member in response to an email received by the schoolboard@gpschools.org email address.

While I recognize that we all have different items we would like to thank the senders of email to us for, my personal belief is that these emails should be sent to the sender directly by the board member who wishes to extend the thanks and not be copied to every person receiving emails auto forwarded to those on the schoolboard@gpschools.org distribution list, which forwards the response not only to all of us on the school board, but also to three very busy central office administrators.

This request becomes even more relevant now with our new email policy whereby any email to which a response is made and copied to three or more board members be posted on the www.gpschools.org website at http://www.gpschools.org/Page/16329.  As you all know, every email meeting this threshold has to be reviewed by Chris Fenton and then action has to be taken on it by Mary Kilimas, two already overworked staff members who must review every email that meets the quorum of board members threshold and take the according action.

If any board member sending the thank you email isn't willing to enter in the individuals they want to "cc" individually in lieu of using the schoolboard@gpschools.org as a handy distribution list, then as a courtesy I request that the board member sending the thank you email change the subject line to reflect their actual purpose in sending the email.  For the sake of an example, if the subject of your thank you email to Mr. McMullen was "McMullen--Thank You for Email" or something similar, I would at least be able to categorize this as a non-urgent email and be able to postpone its immediate reading until I was done reading and responding to the other 200+ emails I receive every day.

Thank you to all in advance for your honoring this request.

    Ahmed Ismail
